Job Description:
The Project Coordinator (PC) is responsible for coordinating,
administering, and supporting activities related to assigned
projects. The PC plays a vital support role for assigned Project
Manager(s) and Studio Director(s) and may serve as a backup
resource or point of contact for the client as needed. This role
contributes to the overall project performance, including quality,
budget, and schedule. A successful PC must be highly organized,
capable of multitasking, and possess strong attention to detail.
They should be adaptable, open to feedback, and eager to learn from
their Project Managers and Studio Directors.Essential Functions and
Responsibilities
- Construction Administration:
- Receive Request for Information (RFIs) and Submittals from
contractors and disseminate to the assigned reviewers within 24
hours of receipt.
- Draft project contracts for consultants and/or clients using
standard templates.
- Organize and maintain project documentation including but not
limited to regular design reviews, updates, coordination, value
engineering, constructability, shop drawing reviews, submittal
reviews, ASI's, RFI's, change orders, and pay applications.
- Project Coordination:
- Maintain, track, and coordinate with the Project Manager
project Program / Design RFIs / Action Items / Needs lists
- Assist Project Manager and ensure consistent procedures are
maintained for team and project documentation.
- Draft, collate, and compile Design Analysis/Basis of Design
documents for review and distribution.
- Assist Project Manager with specification submission process
and project set up in SpecLink.
- Assist Project Manager with document publishing process for all
specification and construction document deliverables.
- Coordinate and assist Project Manager with reviewing and
monitoring work requirements according to established schedules for
design and construction.
- Maintain and coordinate with Project Manager a system to track
client review comments and gather responses from the design
team.
- Maintain, input, prepare, and coordinate/assist Project Manager
the project team list, contacts, consultants, contract details,
schedules, and project information for FSB's management software
systems.
- Team and Client Communication:
- Routinely communicate with the Project Manager, Studio
Director, and Market Sector Principal regarding project status as
needed
- Draft handwritten or typed meeting minutes, and compile from
all disciplines, for Project Manager review.
- Maintain and ensure project photographs are properly
labeled.
- Ensure Independent Technical Review (ITR) and other Quality
Control procedures are scheduled and are aligned with timelines
necessary for proper review and execution. Required Skills:
- Competence in organizing multiple tasks, timelines, and due
dates.
- Proficient in organization and time management.
- Strong communication skills with the ability to clarify
priorities and deadlines.
- Proficiency in analyzing data and producing reports to assist
with project assessments.
- Proficiency in Microsoft Office Suite: Word, Excel, Outlook,
PowerPoint, Teams, and Project.Education and Experience:
- Associate's degree in business, Construction Management or
other related field preferred.
- 5 years of experience in Architecture, Project Management,
Construction, or a related field preferred.
- Prior experience as an Administrative Coordinator or Project
Coordinator in the Architecture and Engineering industry is a
plus.
- Experience in Deltek Vantagepoint (ERP program), SpecLink,
